Review of Minutes and Announcements:

• ITAC subcommittees - which ones are out there?
   
  • Streaming video subcommittee - Fred Westbrook gave an update: They have had one meeting, additional faculty are being nominated to the committee. They have set up their listserv, and have an agenda for their next meeting. Their next meeting is this Wednesday. They will be setting up focus groups in the near term to look at gap analysis and PR items. An interim report will be forthcoming.
     
  • Web CMS- Rob Little is facilitating this subcommittee. They have had meetings and are working to tie into other CMS efforts on campus. A status report should be coming up.
     
  • CITIE steering committee - Mike spoke on how this started out as a steering committee sponsored by the Provost. The intent was to turn it into an ITAC subcommittee once substantial progress had been made in working through the planning issues. He asked if there was agreement for this to occur (yes).
     
• DSG Computing Alan Halachmi gave his goodbye speech to the members of ITAC. Some highpoints were: He enjoyed working together with the members of ITAC, He hopes in the "real" world he will be able to work with people like the ones he has worked with. He appreciates the dedication ITAC has to the student body, he has attended many, meetings with the student body and members of ITAC. He said the state of OIT is outstanding, that the staff is outstanding. He also applauded all the other groups who have been so willing to work with him and the students, including Arts and Sciences, Student Affairs, Auxiliary Services, etc. Alan's efforts were applauded by ITAC and he was thanked for his contributions to the state of computing at Duke.
  
  Caroline asked: Is DSG going to abolish the co-directors of computing?
  Alan: There have not been replacements named, however, in order to do the DSG elections on line they must have approval from the co chairs of computing, so he thinks it will continue.
   
• Parking Issues: Angel announced that she has spoken with Chuck Landis and due to the construction, the parking lot at Tel-Com will be closed on May 13th.
  John Board brought up the issue that the room may be too small now, that the group may have outgrown from 120.
  Tracy asked how many people drove to the meeting and there were just a few.

An update on the digital library initiative

  Paul gave a brief overview of the beginning implementation of Digital Library at Duke.

• Digital Library at Duke - Library Initiatives and Collaboration
   
• Digital Library Definition - Digital Library at Duke is:
  • Introduction of the Organization
  • Library and OIT Collaboration as well as collaboration with other campus groups in general
     
• The Digital library at Duke is services and tools, points of entry to digital resources, workspaces, and a network of experts.

There are 4 stages of user interaction:

• Attract,
• Learning,
• Engagement,
• Disengagement

The Digital library needs to support many learning domains There needs to be motivation and drive to search for information

Academic platform:

Functions (User View)

• Discover relevant information anyplace
• Deliver to the Desktop (or place)
• Customize reference and organize content
• Manipulate fundamental content (text and image)
• Distribute remotely or publish
• Consult experts or engage scholarly communities

Funding Model:

• 7 new positions, 5 reallocated from library, undefined number from grant money
• University is showing its investment in the staff
• Infrastructure - University funding for technical positions
• Content Creation : Grant funding
• Web-mediated services: reallocated

There is some controversy in the library over the reallocation of jobs. Should the money be used for the DL or for new librarians, etc?

Initial Project Focus:

• Web-mediated services
• Wed databases development
• Archival repositories development
• Course support integration - needs to be more conversation on how this needs to happen

Library and Collaboration

• Initial emphasis in 3 areas
• Physical space designs
• Integrating computer labs
• Content Management

• Use whole building as an information commons
• Visual/space cues for functionality
• Content integration and clustering
• Shared staffing by public services and ITS
• Integrate OIT Computer labs

Integrating Computer labs

• New model for Duke?
• Transparent organizational structure
• Capacity increased, for more need
• Capability unified and diversified
• Support defined and integrated

Web Content Management:

• Rethink shared campus digital resources
• Pushing and pulling content for use
• Web gateway, not web site

Need to define a service model and fund collaborations, Duke is working to do this in a very different way from others in the same situation.

Fred Westbrook: How do you determine the needs of Duke? How do you get feedback and how do you evaluate the feedback?
Paul Conway: Right now, they do not have an adequate way, they do have a core group of myduke.com students who they interface with and provide perspective on integration. Also, on specific content, they work with CIT, who works with the faculty and collects feedback They hope to have focus groups and surveys, but they have not gotten there yet.

Pat Halpin: Where is the linkage come in regarding research? There seems to be a disconnect. How do you get data into the digital library?
Paul Conway: The digital library is to be one of the several ways to get this done. He does not know if the Digital Library can deliver the gateway for all digital library information on campus because of the decentralized nature at Duke.

Robert Wolpert: How is Duke doing this differently from others and why is the way Duke doing it better? Paul Conway: They are able to learn from their peers mistakes and it makes the learning curve much smaller. They are taking information from Michigan, Cornell, and Berkeley and seeing what worked and what didn't . They can watch and learn from the other schools and their programs. Also a difference is that at Duke they are starting with service instead of content. The service piece is usually an afterthought and they are putting it at the front an letting it drive the process. If this turns out not to be the best way or necessary, they will shift gears.

Lynne O'Brien: There are models out there that we should make good use of. The Digital Library could work better, but the funding model might not support it. Budgets, cost, etc., can't all be paid for through the library but they can set standards for getting the content into the system.
